The operations layer for coaching teams who want clarity without complexity.
We built CoachlyCRM after running masterminds, private coaching, and group programs out of spreadsheets and generic CRMs. The goal hasn’t changed: keep every client, session, and invoice organized so you can focus on transformation—not admin.

Why Coachly exists
Our coaching teams were juggling Google Docs for session notes, email for invitations, and awkward CRM fields that made no sense for client relationships. We needed a home for:
- ✓Session notes that can be pinned, searched, and referenced by anyone who jumps in.
- ✓Calendar-aware scheduling that respects Google Calendar tokens and keeps availability accurate.
- ✓Branded invitations, mention alerts, and billing emails that sound like they came from us—not a robot.
What we build toward
CoachlyCRM should feel like an operations partner. That means obsessing over the unglamorous but critical workflows:
Keep humans front and center
Session notes, tasks, and invoicing exist to support real relationships. We build features that make it easier to remember wins and follow through on commitments.
Respect the calendar
Google Calendar is mission critical for every coaching team. OAuth, token refresh, and session syncing are engineered first—not treated as add-ons.
Communicate clearly
Email invitations, mention notifications, and confirmations use the same templates coaches send manually. Automations should sound like you wrote them.
Our mission
Help coaching teams spend less time chasing notes, syncing calendars, or rebuilding invoices—and more time coaching. Every feature ships only when it removes administrative noise.
That’s why you see deep Google Calendar support, branded invitations, and invoicing that mirrors the way coaches already operate.
Made in partnership with working coaches
We interview our customers weekly, co-design templates with multi-coach teams, and test new flows inside our own client work before release.
